Personal data controller and personal data processing at Uppsala University Library
Uppsala University is the personal data controller for Uppsala University Library’s processing of personal data.
Uppsala University Library processes personal data necessary for the administration of borrowings of items by library card holders. The data includes name, personal identity number, address, email address, phone number (phone number is optional) and borrower category, such as researcher and student.
Legal basis for personal data processing: fulfilment of borrower agreement.
The University Library processes personal data needed to respond to individuals who ask the Library various questions via email, chat and/or telephone; the data collected includes name, email address and/or phone number. When you contact Ask the Library via e-mail, contact form or chat we will store your IP address for a month.
Legal basis for processing of personal data: fulfilment of public interest mission.
Personal data is processed as part of fulfilling the Library’s mission, which includes issuing library cards, administering borrowings, handling notifications for courses, receiving orders for items and contacting individuals who request information or ask questions. The personal information will not be processed for any other purpose and will not be provided to any third-parties outside of Uppsala University. An exception to the principle of not providing personal information to a third-party is made if we must enlist the services of a debt collection agency to recover outstanding debts.
Personal data related to the administration of borrowings will be retained as long as the borrower intends to be an active borrower at the Library. An active borrower is considered to be someone who currently has borrowed items or has unpaid fees related to overdue/lost borrowed items. If a borrower is not active for three calendar years, it is assumed that the borrower no longer intends to be active and the personal data will be deleted.
Individuals registered have, among other things, the right to information about their data from the controller of personal data, the right to correct their data and in some cases the right to have their data deleted.
